1. About This Policy

Clear Creek Pastoral Co ("we", "us", "our") operates The Farm OS, a farm management software platform available at thefarmos.com.au. We are committed to protecting your personal information in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth).

This policy explains what personal information we collect, why we collect it, how we use and store it, and your rights regarding your data.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

• Email address
• Password (stored encrypted — we cannot view your password)
• Full name (if provided)
• Account role (owner, manager, accountant, viewer)

2.2 Farm Data

When you use The Farm OS, you may enter:

• Financial data (income, costs, overheads, drawings, cashflow)
• Livestock numbers, DSE ratings, and valuations
• Paddock areas, pasture readings, and soil test records
• Feedlot and ration data
• Livestock events (joining, calving, weaning, sales, deaths)
• Loans, inventory, and equipment registers
• Weather station coordinates and rainfall data
• Notes and activity logs

This data is entered voluntarily by you. We do not collect farm data from any other source.

2.3 Payment Information

Payments are processed by Stripe. We do not store credit card numbers, bank account details, or other payment credentials on our servers. Stripe's privacy policy applies to payment processing: stripe.com/au/privacy

2.4 Technical Information

We use Google Analytics to collect anonymous usage data including pages visited, session duration, and general location (country/state level). We do not use this to identify individual users. No cookies are used for advertising or tracking across other websites.

3. How We Use Your Information

We do not use your data for:

• Advertising or marketing by third parties
• Selling or renting to any third party
• Training AI models or machine learning systems
• Profiling or automated decision-making

4. Data Storage and Security

4.1 Where Your Data Is Stored

Your data is stored in a PostgreSQL database hosted by Supabase on Amazon Web Services (AWS) infrastructure. Data may be stored in AWS regions outside Australia (currently US). By using The Farm OS, you consent to this transfer.

4.2 Security Measures

• All data is transmitted over HTTPS (TLS encryption in transit)
• Passwords are hashed using bcrypt — we cannot view or retrieve your password
• Row-Level Security (RLS) ensures each user can only access their own data
• Database access requires authenticated sessions
• The Supabase anon key in the application is a public project identifier — it does not grant access to any user's data

4.3 Data Retention

We retain your data for as long as your account is active. If you delete your account or request data deletion, we will remove your personal information and farm data within 30 days. Anonymised, aggregated data (e.g. average benchmarks) may be retained indefinitely.

5. Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share data only in the following limited circumstances:

• Supabase/AWS — as our hosting provider, for data storage only
• Stripe — your email address, for payment processing only
• Anthropic — your prompts and contextual farm data when you use the AI Co-Pilot, for the sole purpose of generating a response. Anthropic's API operates on a no-training basis — your data is not used to train AI models.
• Google Analytics — anonymous usage data only (no personal information)
• Law enforcement — if required by Australian law, court order, or regulatory authority
• Team members — if you use the multi-user feature, users sharing the same business code can access the same farm data

We do not use any other third-party services that have access to your data.

6. Your Rights

Under Australian Privacy Principles, you have the right to:

6.1 Access Your Data

You can view all your data within The Farm OS at any time. You can also export a complete copy of your data as a JSON file using the Export button in the app sidebar.

6.2 Correct Your Data

You can edit any data within the platform at any time. If you need to change your email address, contact us.

6.3 Delete Your Data

You can request deletion of your account and all associated data by emailing us. We will process deletion requests within 30 days.

6.4 Withdraw Consent

You can stop using The Farm OS at any time. You can export your data before closing your account.

6.5 Complain

If you believe we have breached the Australian Privacy Principles, you may lodge a complaint with us (see contact details below). If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).

7. Cookies and Tracking

The Farm OS uses:

• Essential cookies — Supabase authentication session tokens (required for login)
• Google Analytics — anonymous usage tracking (can be blocked by browser settings or ad blockers without affecting functionality)

We do not use advertising cookies, social media tracking pixels, or any cross-site tracking.

8. Children

The Farm OS is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

9. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with the updated effective date. If we make material changes, we will notify you by email or within the application. Continued use of The Farm OS after changes constitutes acceptance of the updated policy.
